# Creating and Managing Teams

Teams are the primary organizational unit in iKanban. Each team has its own issues, projects, documents, members, and GitHub connections.

## Creating a Team

### During Setup

When you first create a workspace, the setup wizard prompts you to create your first team. Enter a name and it's created automatically.

### After Setup

To create additional teams:

1. Click the **+** button next to "Teams" in the left sidebar
2. Enter the team name (e.g., "Backend", "Design", "Infrastructure")
3. Click **Create Team**

The new team appears in the sidebar with its own section for Issues, Projects, Documents, Members, and GitHub.

## Team Structure

Each team contains:

| Section | Purpose |
|---------|---------|
| **Issues** | Team-level kanban board for tracking all work |
| **Projects** | Specific initiatives or products with their own boards |
| **Documents** | Shared knowledge base: specs, plans, notes |
| **Members** | Who's on this team and their roles |
| **GitHub** | Connected repositories |

## Managing Team Members

### Adding Members to a Team

Members must first be part of the workspace before they can be added to a team.

1. Go to your team's **Members** tab
2. Click **Add Member**
3. Search for workspace members by name or email
4. Select their role for this team
5. Click **Add**

Members can belong to multiple teams simultaneously.

### Team Roles

| Role | Permissions |
|------|------------|
| **Admin** | Manage team settings, members, GitHub connections |
| **Member** | Create and edit tasks, documents, and projects |
| **Viewer** | Read-only access to tasks and documents |

> **Workspace vs Team roles:** A workspace admin has admin access to all teams. Team-level roles only apply within that team.

### Removing Members

1. Go to the team's **Members** tab
2. Find the member in the list
3. Click the **...** menu next to their name
4. Select **Remove from Team**

Removing someone from a team doesn't remove them from the workspace. They'll still have access to other teams they belong to.

## Team Settings

Access team settings by clicking the gear icon next to the team name in the sidebar, or navigating to your team and clicking **Settings**.

### Available Settings

- **Team Name** — Change the display name
- **Team Identifier** — The short prefix used in issue identifiers (e.g., `ENG-123`)
- **Default Assignee** — Automatically assign new issues to a specific member
- **Issue Labels** — Create custom labels for categorizing issues

### Team Identifier

The team identifier (e.g., `ENG`, `DES`, `OPS`) is used to prefix issue numbers. Issue `ENG-42` belongs to the "Engineering" team. Choose a short, memorable identifier — it cannot be changed after issues are created.

## Navigating Between Teams

Use the sidebar to switch between teams. Click a team name to expand it and see its sections. The currently active team is highlighted.

If you're on the **Issues** page, you'll see only that team's issues. Use the team selector at the top to quickly jump between teams.

## Archiving a Team

When a team's work is complete and you want to keep its history but stop adding new work:

1. Go to Team Settings
2. Scroll to the bottom
3. Click **Archive Team**

Archived teams are hidden from the sidebar but remain accessible from Settings. All their data (issues, documents, history) is preserved.

> **Deleting a team** permanently removes all its data. This cannot be undone. Archive instead of delete if you want to preserve history.
